Event & Membership Coordinator Job Description


PSIA-AASI Rocky Mountain is a non-profit organization located in Steamboat Springs, CO. We pride ourselves on offering excellent certification and educational resources to snowsports instructors throughout the Rocky Mountain region. PSIA-AASI Rocky Mountain is not your typical company – we are a fun group who works with a passionate education staff to bring a lasting impact to our membership.

We are looking for a detail oriented, self-starter to work with our small team in our beautiful office located near the Steamboat Resort base area. This position is a seasonal eight- or ten-month position with the potential for growth. Ideal candidates will have administrative experience, effective time and priority management, and strong focus on customer service. This position has a high production rate and is an integral part of our Education Team.

Job Summary:

To coordinate logistics of all events which include setting up events online, coordinating event confirmation emails, staff lodging, meeting space, parking, and food while assisting with member needs and records daily.

Reports to: Education & Events Manager

Works closely with:

CEO, Director of Education, Director of Operations, Events and Membership Manager, Admin Assistant, Education Staff


  • Securing and negotiating contracts for hotel and meeting rooms
  • Assisting with the coordination of the events calendar
  • Setting up event registrations based on the event calendar
  • Communicating event information to participants and staff through email and online confirmations
  • Management of event waitlists and canceled events
  • Create and build reports for event management system
  • Design and publish monthly e-newsletter
  • Prepare lift ticket count for ski schools hosting events
  • Maintain online status of events
  • Process medical, clinic, military, and student waivers
  • Book lodging for staff
  • Answer phones
  • Track and manage the Reinstatement Program
  • Check online e-learnings for completion
  • Diplomatic handling of policy and membership matters
  • Some travel required as office support or to gain insight into processes
  • Communicate and problem solve membership inquiries
  • Support and consult the CEO and administrative team on all facets of the organization


The duties are not inclusive to the above description and may vary based on the needs of the organization.

This position has some flexibility to be an eight- or ten-month seasonal position with potential for growth in future years. Pay range is $42,000-$44,500 annualized. Salary is dependent on experience. Benefits include 3% employer-matched SIMPLE IRA, health insurance paid 100% by company, health insurance policy for family paid 50% by employer, $750 Health Living Benefit that can be used towards a ski pass or related benefit, 5 days paid time off, paid Holidays and paid sick leave.
